The German version of this privacy policy is legally binding.
1. Controller
Der Lettische Verein in Bayern e.V. (registered seat: Munich), represented by the board
Sudetenstraße 1J, 82538 Geretsried, Germany
Email: info@bavarijaslatviesi.de
No data protection officer has been appointed, as the legal requirements for this are not met.
2. General
We process personal data only to the extent necessary to provide our website, answer enquiries and manage our members. The legal bases are in particular Art. 6(1)(a) (consent), (b) (contract/membership), (c) (legal obligation) and (f) (legitimate interest) GDPR.
3. Hosting
This website is hosted by IONOS SE, Elgendorfer Str. 57, 56410 Montabaur, Germany. When you visit the website, server log files are recorded automatically (IP address, date and time, page visited, browser, operating system, referrer URL). This is necessary for the secure and stable operation of the website (Art. 6(1)(f) GDPR). A data processing agreement pursuant to Art. 28 GDPR has been concluded with IONOS. Log files are deleted automatically after a short period.
4. SSL/TLS encryption
For security reasons this website uses SSL/TLS encryption. You can recognise an encrypted connection by “https://” in the address bar.
5. Cookies
Our website uses only technically necessary cookies (e.g. for administrator login and for forms to work). These are permitted without consent under § 25(2) TDDDG. We do not use analytics or marketing cookies.
6. Contact form and email
If you contact us via the contact form or by email, we process your name, email address and message in order to answer your enquiry (Art. 6(1)(b) or (f) GDPR). The form is provided by the WordPress plugin WPForms; your details are not stored on the website but are sent to us by email via the IONOS mail server. The data is deleted once your enquiry has been dealt with, unless statutory retention obligations apply.
7. Membership application
Via the membership form we collect: first and last name, email address, mobile number and, optionally, a further phone number, gender, address, date of birth, sign-up for the choir “Rudzi”, interest in further activities (folk dance group, theatre, other), the chosen payment rhythm for the choir fee and, optionally, the name, date of birth and activity of family members. We use this data solely for membership administration, handling membership fees, organising our activities and communicating with our members (Art. 6(1)(b) GDPR). The application is sent by email to the board (info@bavarijaslatviesi.de) and – if you sign up for the choir – also to the choir management (koris@bavarijaslatviesi.de); we send a copy to your email address. Applications are not stored on the website. If you provide details of family members, you confirm that you are entitled to do so; for minors (under 18), the application must be made by their legal representatives (§ 5 of the statutes). The board decides on admission. We send invitations to the general meeting and other notices to members in text form, in particular by email to the address you have given us (§§ 9 and 12 of the statutes). The data is not passed on to third parties. It is deleted after membership ends, unless statutory retention periods apply (e.g. 10 years for tax-relevant records under § 147 AO).
Donation form. If you notify us of a donation, we receive your name, the amount, your choice (Association or choir) and, if provided, your email address and message. We use this data solely to match the donation to the bank transfer, to thank you and to keep our accounts (Art. 6(1)(b), (c) and (f) GDPR). The data is not passed on to third parties and is kept for as long as statutory retention periods require (e.g. 10 years under § 147 AO).
8. Choir area
For members of the choir “Rudzi” we run a protected choir area. Accounts are created by the association. We store the username, first and last name, email address, role, profile picture, voice part, responses to events and – if you enable them – notification subscriptions. When you log in, we send a one-time security code to your email address.
Your profile picture, name and event responses are visible to other choir members; the overview by voice part is visible to the choirmaster and the choir administrator. Notifications on your phone are delivered via your browser’s push service (e.g. Google Firebase Cloud Messaging or Apple Push Notification Service); only a technical address without any message content is transmitted. The data is kept for as long as you are a member of the choir and deleted afterwards (Art. 6(1)(b) GDPR).
9. Change requests via WhatsApp
If you fill in the form for correcting your details in your choir area profile, we send your name, username, current and requested new details (or a request for a new password) and your note by email to info@bavarijaslatviesi.de and as a WhatsApp message to the responsible person in the association. To send the WhatsApp message we use the service CallMeBot (https://www.callmebot.com), which forwards the message to WhatsApp (Meta Platforms Ireland Ltd.); a transfer to countries outside the EU therefore cannot be ruled out. Passwords are not sent via this form. Legal basis: Art. 6(1)(b) and (f) GDPR (quick handling of your request).
10. Fonts
The fonts used on this website are loaded locally from our own server. No connection is made to Google or other providers.
11. YouTube videos

Data (including your IP address) is only transmitted to YouTube when you play a video. Data may be transferred to the USA; Google is certified under the EU-US Data Privacy Framework. The legal basis is Art. 6(1)(f) GDPR (attractive presentation of our content). More information: https://policies.google.com/privacy
12. Links to social networks
Our website contains links to our pages on Facebook and Instagram (Meta Platforms Ireland Ltd.) and YouTube. These are simple links; data is only transmitted when you click a link and visit the platform, where the provider’s privacy policy applies.
13. Events calendar
Our events calendar uses the plugin “The Events Calendar”. It runs on our own server and does not transmit personal data to third parties.
14. Your rights
You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and objection (Art. 21). You may withdraw any consent at any time with effect for the future (Art. 7(3) GDPR). Please contact info@bavarijaslatviesi.de.
You also have the right to lodge a complaint with a data protection supervisory authority. The authority responsible for us is: Bayerisches Landesamt für Datenschutzaufsicht (BayLDA), Promenade 18, 91522 Ansbach, Germany, www.lda.bayern.de.
